At CB the numbers are big: 90, 000 items and 5, 000, 000 packages delivered a year. Having focused primarily on books and office supplies in the past, the company has recently expanded its service offering to cover fashion and healthcare goods. When scheduling their workforce, the key aspect for CB is effectively matching supply and demand. CB was of the opinion that ORTEC could best meet their requirements.
To ensure the successful implementation of ORTEC’s personnel planning solution, CB went back to the fundamentals. Time recording forms the basis of how CB operates, and so this formed the input to the project, with ORTEC Workforce Scheduling as the output. Dave Anakotta of CB explains: “We measure productivity on the basis of time recording. This means for example we can work out how many hours we need to process say 20, 000 items. Based on the demand forecast and productivity we can then draw up the work schedules. ORTEC Workforce Scheduling helps us to do this, and to deploy staff more effectively and efficiently.”
Peaks and troughs are a fact of life for CB, with orders for school text books rising dramatically around the start of the new school year and other busy periods, including Christmas and Easter. Since these peaks and troughs can more or less be predicted across the year, CB takes a long-term approach to scheduling, and currently operates with a 6-week horizon. The schedules are then checked and fine-tuned on a weekly and thereafter daily basis.
The company promise is that orders placed before 11 p.m. will be delivered the next day. “We have invested in enabling our staff to work flexibly and across different disciplines. ORTEC Workforce Scheduling allows us to compare the forecast to the reality, to plan responsively and so use this flexibility to good effect. As a result, we can deliver on our promise.”
For CB, the efforts to increase flexibility within the company were behind the move to implement ORTEC Workforce Scheduling. “It is now possible for team leaders to reconcile capacity and personnel planning – previously just lists on paper. The fact that ORTEC Workforce Scheduling is a single system is experienced as a great advantage, since centralized planning allows CB to deploy its staff very efficiently. Capacity and personnel planning can be evaluated across the different departments, which has a significant impact on the numbers of agency staff employed.”
